AIIS Conference - Terms and Conditions

1. Introduction These Terms and Conditions (the "Terms") govern your participation in the AIIS Conference (the "Conference") taking place on May 17th and 18th, 2024, at Ichb Pallady, Bucharest, Romania. By registering for the Conference, you agree to be bound by these Terms.

2. Eligibility The Conference is open to high school students.

3. Registration and Fees Registration for the Conference is free of charge. You can register online through the AIIS website.

4. Program The Conference will feature: Presentations by speakers on three categories: AI in Education, AI in Finance, and AI in Internet of Things. Workshops with participants on the chosen category. Demonstrations by the Quantum Robotics Team. The entire program schedule will be provided to registered participants.

5. Conduct Participants are expected to conduct themselves respectfully and professionally throughout the Conference. Disruptive behaviour will not be tolerated and may result in removal from the Conference at the organizers' discretion.

6. Intellectual Property All materials presented at the Conference, including presentations, workshops, and demonstrations, are the intellectual property of the respective presenters or organizers. Participants cannot record or distribute these materials without written consent.

7. Data Privacy and Security The organizers are committed to protecting the privacy and security of all personal data collected from registered students and speakers. This includes: Data Collection: We will only collect the personal data necessary for conference registration and participation, such as name, school affiliation (for students), email address, and dietary restrictions (if applicable). Data Use: We will only use your data for conference administration purposes, such as sending you updates about the program, logistics, and future events. We will not share your data with any third party without your consent. Data Security: We take all reasonable steps to protect your data from unauthorized access, disclosure, alteration, or destruction. We use secure servers and data encryption technologies. Data Retention: We will retain your data for a limited period after the Conference, as required by Law or for legitimate business purposes. You have the right to request access to your data, to have it corrected or deleted, and to object to its processing.

8. Photography and Videography The organizers may take photographs and videos of the Conference for promotional purposes. By registering for the Conference, you consent to using your image or likeness in these materials. Please inform the organizers upon registration if you do not wish to be included. Participants can only take photos and videos inside the event venue.

9. Disclaimer of Liability The organizers make every effort to ensure the accuracy of the information presented at the Conference. However, they cannot be held liable for any errors or omissions. Additionally, they are not responsible for any accidents, injuries, or losses that may occur during the Conference.

10. Cancellation The organizers reserve the right to cancel or modify the Conference program at any time due to unforeseen circumstances. In the event of cancellation, registered participants will be notified and offered a full refund.

11. Governing Law These Terms shall be governed by and construed by the laws of Romania.

12. Dispute Resolution Any disputes arising from or in connection with these Terms shall be settled amicably. If an amicable settlement cannot be reached, the dispute shall be submitted to the competent courts of Bucharest, Romania.

13. Entire Agreement These Terms constitute the entire agreement between you and the organizers concerning the Conference and supersede all prior or contemporaneous communications, representations, or agreements, whether oral or written.

14. Severability If any provision of these Terms is held to be invalid or unenforceable, it shall be struck, and the remaining provisions shall remain in full force and effect.

15. Amendment The organizers reserve the right to amend these Terms at any time. The amended Terms will be posted on the Conference website and effective immediately upon posting.
